Address labels from Excel or CSV

Print mailing labels straight from an address list. Choose your spreadsheet, check that the name and address columns are matched, pick the label sheet you have, and download a PDF that lines up with the labels. No mail merge in Word, and nothing is uploaded.

How to print address labels from a spreadsheet

  1. Choose your file: a .csv or Excel .xlsx file with one person per row, or paste CSV text. Column names in the first row help, but any wording works.
  2. Check the columns. Name, company, street, city, state or county, postcode and country are matched for you. Fix any that look wrong; other columns are ignored.
  3. Pick the label sheet and the address layout. The picture shows the first sheet with your addresses on it.
  4. Download the PDF and print it at 100% (“Actual size”), first on plain paper to check the alignment, then on the label sheet.

Which label sheet to choose

The number is printed on the box and on the edge of each sheet. Sheets from other brands usually say which Avery number they match.

  • Avery 5160 (and 8160): 30 labels of 1" × 2⅝" on a US Letter sheet. The usual choice for envelopes and holiday cards.
  • Avery 5161: 20 labels of 1" × 4", for longer names and addresses.
  • Avery 5163 and 5164: 2" × 4" (10 per sheet) and 3⅓" × 4" (6 per sheet), for parcels and shipping.
  • Avery L7160 and L7163: 21 and 14 labels on A4, the common sizes in the UK, Ireland, Australia and Europe.

Getting the print to line up

  • Print at 100%. “Fit to page” or “Shrink to fit” in the print dialog moves every label. Choose “Actual size” or a scale of 100%.
  • Test on plain paper first. Hold the test print against a label sheet in front of a light. Tick “Print label outlines” to see the label edges.
  • Adjust if needed. If everything is a little off in the same direction, move the print by that many millimetres: if the print sits 2 mm too high, enter 2 under “Move the print down”; too far right, enter a negative number under “Move the print right”. Print the test again.
  • Feed one sheet at a time through the manual feed tray if your printer has one, and set the paper type to labels.

Getting the addresses into a spreadsheet

  • Google Contacts: Export → Google CSV, then choose that file here.
  • iPhone, iCloud or Android: export the contacts as a .vcf file, turn it into a spreadsheet with the vCard to CSV converter, then choose that file here.
  • Outlook: export your contacts to a CSV file, then choose it here.
  • Google Sheets or Numbers: download or export the sheet as CSV or Excel.

Columns such as Name, Address (or Street), Address 2 (or Apt, Suite), PO Box, City, State, ZIP and Country are matched for you; check the matching in step 2. A cell with several lines (Alt+Enter in Excel) keeps its lines on the label. A row without a street or PO box is listed, so no label goes out with only a town.

Instead of a mail merge

Word’s mail merge connects a spreadsheet to a label template in several steps, and Google Docs needs an add-on for it. Here the same result takes one file and one download: the PDF already holds every label, sized to fit, and nothing is installed or uploaded.

Avery is a trademark of Avery Products Corporation. SheetConvert isn’t affiliated with Avery; the sheet numbers are used only to say which labels the layouts fit.

Frequently asked questions

Is there a limit on the number of labels?

One PDF holds up to 20,000 labels, and each address can be printed up to 100 times. Each sheet fills in turn, so the PDF has as many sheets as the list needs. For more, split the list.

The labels print slightly off. What can I do?

Check that the print scale is 100% (“Actual size”). If every label is off by the same amount, move the print with the two “Move the print” settings by that many millimetres, then print a test on plain paper.

Can I use a sheet that is partly used?

Yes. Set “Start at label number” to the first free label. Labels are counted left to right, row by row.

Can I print several labels for each address?

Yes. Set “Labels per address”, for example to 2 for an envelope and a parcel.

Some letters print as question marks. Why?

The PDF uses the standard Helvetica font. It covers English and Western European languages (French, German, Spanish, Italian, Portuguese, Dutch, the Nordic languages). Letters it lacks print as “?”: Polish, Czech, Hungarian, Romanian, Turkish and Baltic letters such as Ł, ő, ș or ğ, and other scripts such as Chinese, Arabic, Cyrillic or Greek. You are told when that happens; write those addresses in Latin letters, or print them from a word processor.

Are my addresses uploaded?

No. The spreadsheet is read and the PDF is made by your browser on your device. Nothing is sent to us or anyone else.
